Position Summary

Bookkeeper / Staff Accountant
Multi-Venue Hospitality & Live Entertainment Company is seeking a Bookkeeper/Staff Accountant to own day-to-day accounting across our venues. This is a hands-on, execution-focused role for someone comfortable managing high-volume, multi-entity transactional workflows.

This role reports directly to the Venue Director and works closely with venue GMs, ownership, and our external CPA.

Core Responsibilities

Daily & Weekly Financial Operations

• Reconcile daily sales activity across POS systems and event booking systems against banking activity
• Prepare and distribute weekly flash/KPI reports covering revenue, COGS, and labor
• Record comps, house accounts, and deposit activity accurately

Ticketing & Event Settlement

• Reconcile ticket settlement against banked deposits by venue
• Track private event and buyout deposits, redemptions, and refunds
• Process artist and promoter payouts on a recurring, deadline-driven basis, ensuring accurate door-split calculations and timely payment

Accounts Payable & Vendor Management

• Full-cycle AP: invoice entry, coding, and payment processing
• Reconcile vendor statements
• Maintain a live AP aging report, flagging past-due invoices and ensuring nothing goes unpaid or unaddressed
• Support vendor communication on payment status and discrepancies

Banking & Reconciliation

• Reconcile all business bank and credit card accounts
• Monitor cash activity, deposits, and identify discrepancies proactively
• Track intercompany transfers and cost allocations across entities

Payroll & Labor Support

• Validate payroll data and coordinate with our payroll provider (Gusto)
• Reconcile tip pools and commission calculations
• Cross-check labor costs against actual scheduled/worked hours by department

General Ledger & Compliance

• Maintain general ledger integrity — accurate account coding, no stale or misclassified entries
• Reconcile payroll processing against state and federal tax filings (including 941s)
• Support sales tax filing and 1099 preparation
• Assist with workers' compensation audit documentation

Month-End Close & Reporting

• Prepare recurring journal entries, accruals, and balance sheet reconciliations
• Prepare accurate venue-level monthly and YTD P&Ls, with correct account classification
• Support real inventory-based COGS tracking (physical counts, not just purchase totals)
• Support annual budgeting and forecasting — minimal formal budgeting exists today; this role will help build it out
• Prepare investor-facing quarterly and H1 financial packages
• Maintain audit-ready documentation for our external CPA

Qualifications

Required

• 3+ years of bookkeeping/accounting experience in hospitality or restaurants
• Proficiency in QuickBooks Online
• Strong Excel skills (pivot tables, VLOOKUP/XLOOKUP, reconciliation workflows)
• High attention to detail in high-volume, multi-entity environments
• Comfortable working independently and flagging discrepancies proactively

Preferred

• Live music/entertainment venue experience
• Experience supporting multi-entity or multi-location businesses
• Experience with Bill.com
• Degree in Accounting, Finance, or related field (not required with strong practical experience)

Key Competencies

• Strong follow-through — able to independently trace and resolve discrepancies, not just flag them
• Comfortable communicating directly with venue managers and ownership
• Organized and able to manage priorities across two entities and multiple properties

Schedule

• Structured as approximately 2-3 days on-site (split across 2 venues) with remaining time flexible/remote for reconciliation and reporting work. Exact structure to be discussed based on workflow.
